PRF generates reports from the data in your waivers you can use to nail your accounting, accelerate your business, and better understand your clientele.

The REPORTS tab in PRF Settings turns your completed client waivers into useful business data. Instead of spending hours digging through paper stacks or calculating receipts by hand, PRF pulls client contact info and shop sales into clean CSV spreadsheets dropped straight into your connected cloud storage.

Protected behind your Master Passcode, the REPORTS tab gives shop owners and studio managers instant tools to handle weekly piercer payouts, run end-of-month bookkeeping, export client databases, and force-sync any waivers held locally during internet drops.



Accessing the REPORTS Tab

Because financial exports and client database downloads contain sensitive business records, access requires administrative clearance:

  1. From the Welcome Screen, tap the Menu Icon (three horizontal lines in the top-right corner) or tap the Settings Gear Icon in the bottom-left corner of any main screen.

  2. Enter your Master Passcode (default is 1234).

  3. Tap the REPORTS tab in the top navigation bar.



1. Sync Temporarily Held Waivers to Cloud

If your shop experiences a temporary Wi-Fi drop or network disruption, PRF automatically holds completed waivers safely on the iPad so your counter flow never stops. Once your internet connection is back up, you can push all held waivers to your cloud at once.

PRF checks every waiver saved locally on the iPad against your connected cloud folder and uploads only the missing files—making sure your archives stay 100% complete.

  • Waivers already stored safely in your cloud are never overwritten, renamed, or duplicated.

How to Force-Sync Temporary Waivers:

  1. Make sure your iPad is reconnected to Wi-Fi.

  2. Tap Sync Temporary Waivers to Cloud.

  3. PRF compares every waiver stored on the iPad against your connected cloud folder.

  4. The sync engine automatically identifies and uploads only the missing PDF files.

When finished, a green checkmark will confirm: "Everything is already in your cloud. Nothing to upload."



2. Generate Financial Report (CSV Export)

Keep your shop accounting clean and stress-free. The Financial Reports export generates a detailed spreadsheet covering total sales, session counts, payment methods (cash, credit/debit, P2P digital payments), and tax breakdowns.

  • Custom Filtering: Filter sales numbers by specific piercer, custom date ranges, or shop-wide totals to calculate weekly piercer payouts and tax obligations effortlessly.

  • Best For: Accountant handoffs, end-of-month bookkeeping, tax audits, and tracking piercer revenue splits.

Note on Data Collection: PRF collects background data for financial reports whenever a Basic or Pro subscription is active. While exporting CSV files is a PRO Subscription feature, Basic plan users still have background data collected automatically in case you upgrade to PRO later. Pay-As-You-Go Bundles do not collect background reporting data. Read more on such purchases here.



3. Client List Export (CSV Export)

Own and protect your studio's most valuable asset: your client roster. The Client List export packages your check-in contact details into a clean, portable spreadsheet.

  • Data Captured: Includes client full legal names, phone numbers, email addresses, emergency contacts, and check-in timestamps.

  • Data NOT Captured: Sensitive health answers, medical conditions, and allergies submitted on the health screen are strictly excluded from CSV exports to protect client privacy. Medical details stay locked inside your private cloud PDF waivers.

  • Best For: Importing client contact info into email marketing tools, backing up client rosters, and analyzing shop demographic trends.



4. PRF App CSV Export File Format & Timestamp Guide

When you run an export from the REPORTS tab, PRF generates a standardized, timestamped CSV file so you can easily sort and identify every record.

  • File Naming Format: financial_report_YYYY-MM-DD...csv (Example: financial_report_2026-12-09T22:12:09.1234.csv )

How to Read the Timestamp:

  • 2026-12-09 = Year-Month-Day (December 9, 2026).

  • T = Time Separator (Standard format separating date from time).

  • 22:12:09 = Hour:Minute:Second (Recorded in 24-hour time—10:12:09 PM).

  • .1234 = Fractions of a Second (Guarantees every generated report has a 100% unique filename, even if exported back-to-back).
